1. Disconnect a connected service
An authorized administrator can revoke Backline’s access through the connected provider or a disconnect control in Backline when available. For QuickBooks Online, use Apps / My Apps in QuickBooks or the Backline connection settings. Revocation stops new API access but does not automatically delete records already synchronized, reports already generated, or material retained under a bookkeeping engagement.
2. Submit a request
Email admin@backlinebusinesssolutions.com with the subject “Backline data request.” Include:
- Your name, company name, and Backline account email or phone number.
- The organization and connected service involved.
- Whether you request access, correction, portable export, restriction, objection, disconnection, or deletion.
- A brief description of the information or account concerned.
Do not send passwords, verification codes, government identifiers, OAuth tokens, banking credentials, or copies of financial records by ordinary email.
3. Verification and authority
We verify identity and authority before acting and may request additional information through a secure channel. An organization administrator may need to approve a request affecting business records or another user. Authorized agents must provide proof of authority. If Backline processes the information for another customer, we may refer the request to that customer.
4. Timing
We will acknowledge a request and normally complete a valid deletion request within 30 days. Privacy law may provide a different response period or extension. Complex, disputed, or multi-system requests may take longer; where required, we will explain the reason and expected timing.
5. What a request may cover
Subject to authority and applicable exceptions, a request may cover account and profile information, OAuth credentials, synchronized connected-service records, reporting snapshots, uploads, generated artifacts, support information, and associated metadata controlled by Backline. Disconnecting one provider does not necessarily delete data originating from another source or records Customer instructed Backline to maintain.
6. Retention exceptions
We may retain limited information where reasonably necessary for law, tax and accounting records, fraud and security prevention, disputes, enforcement, signed engagement obligations, transaction evidence, or the rights of another person. We may also retain aggregated or de-identified information that cannot reasonably identify you. We will restrict retained information from ordinary product use where appropriate and explain material exceptions when legally permitted.
7. Backups and downstream copies
Deleted information may remain temporarily in encrypted or access-restricted backups until those backups expire or are overwritten under normal schedules. We do not restore deleted information to ordinary use except where necessary for recovery, and recovery procedures require deletion to be reapplied where technically feasible. Reports or exports already downloaded or sent to authorized recipients are controlled by those recipients, not Backline.
8. Closing an account
Account deletion does not automatically cancel unpaid fees, an active subscription, or a separate professional-services engagement. Follow the applicable order or engagement terms for cancellation. We may require Customer to export records before closure and may be unable to recreate them afterward.
9. Appeal or complaint
If we deny a request, you may reply with “Privacy appeal” and explain why you believe the decision should be reconsidered. You may also contact the privacy or consumer-protection authority available in your jurisdiction.
